Who is responsible
Wagilo is operated by Richard Truelove, trading as Wagilo, of 69 Central Avenue, Bognor Regis, West Sussex, PO21 5HP, United Kingdom. For privacy questions or requests, email [email protected].
For account administration, support, security and Wagilo’s own business relationship with users, Wagilo acts as a data controller. When a dog-care business uses Wagilo to manage information about its clients and their dogs, that business will usually decide why and how those records are used. In that context the business is generally the controller and Wagilo provides the software and processing service.
Information we handle
- Account and business information: names, email addresses, authentication details, business contact information, settings and branding.
- Client and dog-care information: owner and emergency contacts, addresses, dog profiles, veterinary and care information, medication, vaccination and consent records.
- Bookings and work records: requested and confirmed services, dates, times, prices, attendance, care actions, observations, check-in items and service history.
- Photographs, documents and incident evidence: files a user chooses to upload, together with related notes, dates and records.
- Location information: route points recorded during an active walk, and location attached to an incident when permission is available. Wagilo does not use location for advertising.
- Invoices and payment reports: invoice lines, totals, status and information supplied when a client says they have paid. Wagilo does not currently process card payments.
- Device and notification information: device identifiers or push tokens needed to deliver selected notifications, plus permission and preference settings.
- Support and technical information: messages, screenshots or diagnostic details you provide, and basic security or service logs needed to operate and protect the service.
How we use information
We use personal information to provide accounts and synchronisation; operate bookings, care records, reports, owner access, updates and invoicing; deliver requested notifications; respond to support and privacy requests; protect accounts and investigate misuse; maintain, troubleshoot and improve reliability; and comply with legal obligations.
Lawful bases
Depending on the context, processing is necessary to perform a contract or take requested pre-contract steps, to meet legal obligations, or for legitimate interests such as providing and securing Wagilo, resolving support issues and improving reliability. A dog-care business is responsible for selecting an appropriate lawful basis for the client and care information it enters. Device permissions such as camera, photos, notifications and location remain under the user’s control.
Who receives information
Information may be processed by carefully selected providers that support hosting, database and file storage, authentication, email, notifications, app distribution and technical operations. These currently include Supabase, Cloudflare, Fastmail, Expo and platform notification providers such as Google. We may also disclose information where required by law, to protect rights or safety, or during a legitimate business reorganisation.
We do not sell personal information and do not use client or dog-care records for behavioural advertising.
International transfers
Some service providers may process information outside the United Kingdom. Where required, we use recognised safeguards such as UK adequacy regulations or approved contractual protections.
How long information is kept
Account and service information is kept while the account is active and afterwards only for as long as reasonably needed for account closure, security, legal claims and legal obligations. Support correspondence is normally retained for up to 24 months after the issue closes. Financial and transaction records may be retained for up to six years where required. Dog-care businesses control the working retention of their client and care records and may have professional, licensing or legal reasons to retain them. Deleted information may remain temporarily in protected backups before routine expiry.
Security
Wagilo uses access controls, authenticated accounts, restricted owner access, encrypted network connections and service-provider security controls. No system can guarantee absolute security, so users should protect their account credentials and devices.
Your rights
Depending on the circumstances, you may have rights to be informed, access your information, correct it, request deletion or restriction, object to processing, receive portable information and complain about automated decision-making. Wagilo does not currently make decisions about people using solely automated processing with legal or similarly significant effects.

Children
Wagilo is intended for dog-care professionals and adult dog owners. It is not directed to children.
Website cookies
The public Wagilo website does not currently use advertising or analytics cookies. The authenticated owner portal may use essential browser storage needed for sign-in and security.
